Intro to BitaBIZ - get started as a new user

Welcome to BitaBIZ!

BitaBIZ is a user-friendly platform for managing time, absence, and vacation planning.

Login

First time logging in:

Click the link in the invitation email you received.

  • If your company uses Single Sign-On (SSO), you’ll be taken straight to the login page

  • If not, you’ll need to create a password using the link

Your email address is always your username.

Create a registration:

You can register in BitaBIZ from the mobile app, Outlook, or the web:

  1. Click “New registration” or “Check in”

  2. Choose registration type:

  3. Enter date or time period

  4. Click "Save"

Note:

  • You can only select the registration types your company has given you access to.
    If you’re missing a registration type you previously had or should have access to, contact an administrator who can grant you access.

  • Names of registration types may have been changed by your company

  • The time registration method for registering payroll hours, project hours, and overtime depends on your company’s chosen method

  • Earning and use of vacation days depends on the method your company has set up. Always follow the vacation guide that matches your company’s setup

Rules for registrations

It’s important to understand how registrations work in BitaBIZ:

Absence (e.g. vacation and time off)

  • Register on the day or in advance

  • Cannot be registered retroactively

  • Cannot be deleted retroactively

If you need to change or delete absence in the past, contact your manager.

Sick leave

  • Register either on the day or as a period, depending on your company’s setup

  • In some cases, it can be edited or deleted retroactively if allowed and not payroll processed. This depends on your company’s setup

Time registration (payroll hours, overtime, flex time, mileage)

  • Can be registered retroactively

  • Can be edited and deleted as long as the registration hasn’t been payroll processed.
    However, your company may have a setting for how far back changes can be made

Payroll processed registrations

  • Cannot be deleted or changed

  • Are locked in the system

If a registration has been payroll processed and needs to be changed, contact your manager, as only an administrator can change payroll processed registrations.

Calendar and display

  • Public holidays are shown in red in the calendar

  • Public holidays do not count as vacation days

Deleting registrations

How you delete a registration depends on the type:

  • Future registrations:
    → can be deleted directly in the calendar

  • Absence in the past (e.g. vacation):
    → cannot be deleted
    → contact your manager or HR

  • Payroll processed registrations:
    → cannot be deleted

Deleting during a vacation period

Vacation registered as a continuous period (several days in a row) is considered a single registration, which means:

  • You cannot delete individual days within the period

  • If the vacation needs to be changed, you must delete the entire registration and create a new one with the correct dates

Deleting recurring registrations

If the registration is recurring, you can choose to:

  • delete just one registration

  • or the entire series

Approvals and notifications

  • When you create a registration, your manager is notified directly by email/SMS

  • When the registration is processed (approved or rejected), you’ll be notified by email

  • Registrations awaiting approval are clearly shown in your calendar in red. Once a request is approved, it changes color/status to approved

My registrations (overview and export)

My calendar

From your calendar in the web portal, you get a full overview of your work hours and absence. Click a registration in your calendar to open it and see details.

If you want a complete overview as a report, you’ll find it under "My registrations".

Depending on your company’s settings:

  • Red indicates your registrations are awaiting approval.

  • View weekly, monthly, and yearly statistics.

Export your own registrations

As an employee, you can get an overview of your own registrations and export them via the “My registrations” tab in the web portal.

Here’s how to find it:

  • Go to Calendar

  • Select the My registrations tab

Here you can:

  1. Select period

    • Set a start and end date for the period you want to view

    • You can run a report for up to one year at a time

  2. Filter view

    • You can choose to see:

      • one registration type at a time (e.g. time registrations, vacation, sickness, mileage)

      • or all registrations together

      It’s not possible to combine several specific types in the same view

  3. View and export data

    • Click Show result to display the registrations
      The result is shown as a single list

    • You can then export the view to Excel

It’s a good idea to export all registrations to Excel and then filter and sort the data as you wish.

Only registrations you have access to will be shown in the overview.

Note: The export from "My registrations" is for personal use only – not for reconciliation or balance checks.
This function only applies to your own registrations. It’s not possible to export registrations for other employees from this view.

My data and apps:

You can enter your own user data, such as birthday, home address, personal email, time zone, emergency contact, etc. in BitaBIZ. Read more about how to do this here.

BitaBIZ can be used via your mobile app and Outlook. In Outlook, you can set up an email auto-reply for when you’re absent.

You can also add your BitaBIZ Team calendar to your Outlook, Google Calendar, or iCal
