Company information and billing
The company information registered in your subscription plan is used for billing by BitaBIZ. It is therefore important that the information is always correct and up to date.
How to update your billing information
Go to Setup Admin
Select Company
Click Subscription plan
Make the desired changes
Click Update subscription plan to save the changes.
If your company information changes, it is your responsibility to update the information in the system.
Changes to company information will appear on your next invoice and do not apply retroactively.

Inactive users (effective from July 1, 2026)
Price: DKK 2 per inactive user / month
When an employee is terminated and made inactive, their access to the system is removed. All historical data is retained and included in statistics and reports. The Payroll Admin role has access to the employee’s inactive calendar.
When the employee’s profile is deleted, billing for inactivity stops. An employee profile can be deleted manually or automatically via a setting in BitaBIZ. Read more here.

Billing currency
You can choose which currency you want to be billed in. The selected currency will be used for all future invoices from BitaBIZ.

Any changes to the billing currency will take effect from the next invoice and will not apply retroactively.

You can update your billing information under Setup Admin → Company → Subscription plan.Save the changes by clicking Update subscription plan. The updates will appear on your next invoice.
How do we receive our invoice from BitaBIZ?
How do we receive our invoice from BitaBIZ?
BitaBIZ primarily sends invoices as e-invoices, if possible. Information for e-invoicing is retrieved automatically from the NemHandel register.
If your company is not registered for e-invoicing, or if you do not wish to receive e-invoices, the invoice will be sent as a PDF via email.This can be configured on your BitaBIZ subscription page by deselecting e-invoice and entering an invoice email address.
When do we receive the invoice, when must it be paid, and what does it cover?
When do we receive the invoice, when must it be paid, and what does it cover?
You receive your invoice when your paid subscription period begins, and thereafter quarterly in advance at the beginning of each calendar quarter.
The payment deadline is 14 days from the invoice date.
The invoice covers your subscription for the upcoming quarter and is calculated based on:
The modules activated in your subscription plan
The number of active users (e.g., employees and freelancers)
Any SMS messages used
If your subscription starts in the middle of a quarter, the first invoice will be calculated proportionally for the remaining part of that quarter.

Why does the number of billed users not match our current number of employees?
Why does the number of billed users not match our current number of employees?
BitaBIZ invoices quarterly in advance based on the number of active users on the account at the start of the quarter.
If the number of employees changes after the start of the quarter (for example due to employees leaving), this will not affect the current invoice. Instead, it will be reflected on the next invoice, provided that the users have been set to inactive.
Please note that employees continue to be included in the billing as long as they remain active users in the system.
You can review the number of active users as of the date we generated the invoice by going to:
Report Library → HR Reports → Number of employees
Here you can see which users are active and ensure that former employees have been correctly deactivated.

Billing is calculated based on the number of active users and is updated quarterly in advance.
If you:
add new active employees, or
set existing users to inactive,
the change will be reflected on the next invoice.
Changes do not affect the current billing period.

Yes, you can change your subscription plan at any time, including:
Switching package (e.g., upgrading from

These changes can be made at any time via: Setup Admin → Company → Subscription plan
When do the changes take effect?
Changes will generally take effect from the next billing period and will be reflected on your next invoice. This means that changes made during an ongoing billing period will only affect the next quarter’s billing and price.

The QR scanner feature is included at no additional cost. However, like our other advanced time registration features, using the QR scanner requires that the EU Add-on module is activated on your account.

You can terminate your subscription by submitting a written cancellation via email to [email protected].
The cancellation must be received before the start of a new calendar quarter and will take effect from the next quarter, unless otherwise agreed.
What is the notice period?

The notice period depends on when during the quarter the cancellation is received.
You can terminate the subscription:
Up to the end of the quarter that has already been paid for
With a notice period of between 1 and 90 days, depending on when the cancellation is submitted
The subscription is automatically renewed each quarter unless cancellation is received before the start of the next quarter.

Are we invoiced after cancellation?

No. You will not be invoiced after cancellation, unless otherwise agreed.
If you cancel your subscription during an ongoing quarter, the invoice for that quarter will already have been issued, and your agreement will remain valid for the rest of that quarter.The subscription will end at the end of the current quarter, and no further invoices will be issued.

Your data can be accessed and downloaded until the last day of the subscription period, after which BitaBIZ will delete all data in accordance with GDPR legislation.
