Exporting Data from BitaBIZ
Short Article Description
Get an overview of the different ways to export data from BitaBIZ, and see which solution you should choose for reporting, payroll, Excel, Power BI, API, or registration history.
Quick Answer
BitaBIZ offers several export options, and the right solution depends on your purpose.
As a starting point, use:
Purpose | Use this solution |
Reports, analysis, specific registration type, balances, and calculations | Report Library |
Export to payroll system | Payroll export with period management |
Simple Excel export of registrations | Manual Excel export |
Automatic data feed to Excel, Power BI, or integration | API |
History of who created, changed, approved, or deleted a registration | Activity log |
Exports and reports show the registrations themselves and the data the report is designed to display. If you need to investigate change history, use the Activity Log.
Applies to
This article applies to payroll administrators, HR staff, and users with access to HR Statistics, Payroll Admin, or integrations in BitaBIZ.
Prerequisites
Access depends on the type of export:
Solution | Typical Access |
Report Library | HR Statistics role and activated BitaBIZ Report Library module |
Payroll export | Payroll Admin |
Manual Excel export | Payroll Admin |
API: CSV (Excel, Power BI) & REST (JSON) | Activated BitaBIZ API module. API key access requires Setup Admin |
Activity log | Payroll Admin |
Step-by-Step
First, clarify what you need the data for.
Choose the export solution that fits your purpose:
Use the Report Library for reports, balances, export of specific registration types, key figures, and calculations.
Use Payroll export with period management for payroll processing and export to the payroll system.
Use manual Excel export for simple exports of registrations.
Use the API for automatic data flows, dashboards, and integrations.
Use the Activity Log if you need to see the history of actions on registrations.
Select the period, employees, and relevant filters.
Check that the export contains the type of data you need.
If you are missing history, calculations, or payroll status, switch to the solution designed for that purpose.

Which export should I choose:
You want to... | Choose | Where to find it? | Important to know |
Get reports with balances, totals, specific registration types (e.g. vacation), key figures, and calculations | HR Statistics → Report Library | Recommended solution for reporting, export of specific registration types (e.g. sick leave), and analysis
Export registrations to payroll system | Payroll Admin → Export → Payroll export with period management | Should be used for payroll runs, as this solution handles payroll processing
Make a simple Excel export | Payroll Admin → Export → Create report | Used for raw registrations, not for report structure or calculations
Build your own dashboards in Excel or Power BI | Setup Admin → Company → Subscription plan → BitaBIZ API key | Data is automatically fetched to Excel or Power BI via URL with API key
Integrate BitaBIZ data with your own systems | Setup Admin → Company → Subscription plan → BitaBIZ API key | For IT developers. Data is delivered in JSON
See who created, changed, approved, or deleted a registration | Payroll Admin → Logs → Activity log | Used for history and audit trail |
Important to Know
The Report Library is the primary solution when you need reports with structure, calculations, balances, and key figures.
Manual Excel export is a simple data export. It should not be used as a replacement for the Report Library if you need balances, totals, calculations, or report tabs.
API (CSV & REST) is used for automation, Excel, Power BI, and integrations. The API should not be used for payroll export, as it does not track which registrations have been processed for payroll.
Exports and reports do not necessarily show the history of when a registration was created, changed, approved, or deleted. Use the Activity Log if you need to investigate history.
Permissions and Access
The Report Library requires the HR Statistics role. This role gives access to the company's report data and must be assigned by an administrator with Setup Admin access.
BitaBIZ API & Report Library is a module that must be activated on the subscription plan.
The API key is found under Setup Admin → Company → Subscription plan and must be handled securely, as it gives access to company data.
Payroll export, manual Excel export, and Activity Log are found under the Payroll Admin area and require relevant payroll administration access.
FAQ

Instead, use the activity log, which is designed to show this type of history, for example if you need to check whether absence was registered on time.

Can I see which registrations were created on a specific date? For example, which registrations were made on 5/20 and who created them?
Through the log, you can search by the creation date of registrations:
Go to Payroll Admin → Logs → Activity log
Filter/search for the date you want to investigate
You can see who created, who approved or rejected, and whether it was changed or deleted, as well as when it happened.
Example: Show me registrations created on 5/20. You will see a list of registrations, all of which have in common that they were created on 5/20.
