Introduction to Flextime

Flextime is specific to employees who check-in and out every day when they are at work.

The work hours registered per day updates the Hour Bank in accordance with the day's standard hours. For example; The Hour bank is adjusted on a daily basis according to registered working hours on the day against the day's standard hours.

An employee can check-in and out with flex time from the mobile app, web portal, and Outlook app.

Leave and absence

Flextime works together with the module Leave & Absence.

  • Full vacation, public holidays, and days of absence count neutrally. A full vacation day count the standard hours set up for that day. There is no adjustment of the hour bank.

  • Half vacation, public holidays, and days of absence count as half of the daily standard hours set up for that day. Half days must be combined with a flex time registration and the sum of the two count for the day's working hours, which then adjusts the time bank balance. Example:
    Half day vacation + Flextime registration = daily working hours.
    Half public holiday + Flextime registration = daily working hours.
    Half public holiday + half day vacation = the standard working hours of the day

Time off

Flextime works together with Time off. Hours saved in the Hour bank is used to request time off. Time off events, therefore writes down the hour bank. A full time off registration counts as the norm hours of the day.

Note: Time off must be registered as a full day. It is not possible to register both working hours and time off on the same day.

Custom registration types

Custom registration types created for your account can be configured to count as working time in the Flextime schedule. For example; an own-paid day off, course, business trip, private appointment, doctor's visit, etc.

Public Holidays

Half public holidays count in the working time registration as a half-day norm when combined with a Flextime registration. The sum of the two counts for the standard hours of the day when the Hour bank adjustment is calculated. Example:

Half public holiday + Flextime registration = working hours of the day.

Day bank

  • Whole day bank days count neutrally. Ie. an whole plus or minus day only adjusts the day bank, but there is no adjustment of the hour bank.

  • Half day bank days can not be used with flex time registration.

The work hours schedule

Employees who have access to Flextime will have access to a working time schedule in addition to the annual calendar.

The employee's work hour schedule will also be available to the employee's manager/approver and the Payroll admin role.

The work hours schedule shows how Flextime works together with full and half-day vacation, days of absence, public holidays, and days off. The employee's standard time per day is shown in the schedule and is used to calculate plus and minus hours per day for the time bank adjustment.

An employee can have multiple Flextime registrations per day. The sum of all Flextime registrations on a working day forms the basis for the calculation of the day's time bank adjustment.

Statistics

The employee's calendar contains statistics that show the sum of all the registrations included in the work hours schedule. Including sick days, vacation, own event types that are marked to count with flextime, public holidays, etc.

The Team Calendar

Employees who have checked in at work will have the status "Present" in the team calendar. When an employee checks out, the employee's "Present Status" in the team calendar is removed.
