QR Check-In/Out at the Workplace (with Hour Bank)

To make registering your attendance faster and easier, we’ve introduced a new check-in and check-out system using QR codes. This means you can now register your work hours by scanning a QR code when you arrive and when you leave.


Where can I find the QR code?

In your BitaBIZ app

Check in

When you arrive at the workplace:

  1. Open your BitaBIZ app

  2. Tap the green check-in button

The QR code is now visible on your phone

What should I do?

  1. Hold the QR code up to the window of the QR scanner your company uses for check-in and check-out

When you hear a beep, you’re checked in at your workplace

Check out

When your workday is over:

  1. Open your BitaBIZ app

  2. Tap the yellow field as shown in the image

The QR code is now visible on your phone

  1. Hold the QR code up to the window of the QR scanner your company uses for check-in and check-out

When you hear a beep, you’re checked out.

Want a reminder?

Push message

If you forget to register your hours, you’ll get a friendly reminder the next day.

💁 You’ll only get a message if the previous day was a workday.

Live feed

When you check in, a timer starts on your mobile home screen.

💁 You can check out directly from your mobile home screen.

ℹ️ Access to reminders depends on your settings.

Team calendar

Your attendance status is shown in the Team calendar when you’re checked in.

When you check out, the registration is removed from the Team calendar.

Own paid breaks and payroll hours

Own paid breaks?

💁 If there’s a break in your work hours, it will be automatically deducted.

Payroll hours?

💁 Click on a time registration in your calendar to see if it’s been paid out.

Your registrations can be exported to Excel via My Registrations.

Alternative method: Manual check-in/out in app or web

As an alternative to the QR solution, employees can register work hours directly in the app or via the web by clicking “Check in” and “Check out”.

FAQ

What if I can’t scan the QR code at the terminal?

If you’re having issues, it could be due to:

  • Poor internet connection

  • Camera/QR scan not working

  • The QR code is damaged or unreadable

Try this:

  • Check that your phone has internet access

  • Make sure you’re holding your phone at a good distance and turn up the brightness

  • Contact your manager or support if the problem continues

When should I check in and out?

You should check in:

  • when you arrive and start your workday

You should check out:

  • when you leave the workplace and finish your workday

If you leave temporarily (e.g. for a short break), you usually don’t need to check out — unless your team has agreed otherwise.

Can I check in from home?

No, you can only use QR check-in and check-out at the workplace.

If you’ve registered remote work in your work calendar, the BitaBIZ app will automatically switch to manual time registration and you can check in and out using the standard time registration in the BitaBIZ app.

Do I need to check in and out every day?

Yes, you need to check in and out every workday when you’re physically at the workplace.

What if I forget to check out?

Contact your manager or HR/Payroll, who can check you out. Remember to let them know what time you should be checked out.

I need to edit a time registration – what should I do?

You can’t edit your own time registration when you check in and out with the QR code at the workplace.

If there’s a mistake in your check-in, contact your manager so it can be corrected.

I need to use QR check-in/out, but the QR code isn’t showing – what should I do?

If your company has enabled QR check-in/out for you but the QR icon isn’t showing, log out of the app and log back in to update your settings.

After that, the QR icon will appear and you can check in using the “Check in” button in your mobile app.

You don’t need to select “Create registration”.

I’m checked in but can’t check out – what should I do?

If you can’t see a “Check out” button, it’s usually because your time registration method has been changed.

If you no longer have a check-in/out registration method (for example, if your company changed your policy), the check-out button will disappear – even if you previously checked in.

This means:

  • You can’t check out yourself because the function is no longer active on your profile

  • This applies both in the app and on the web

What should you do?

Contact your manager or administrator, who can register your end time manually or correct your registration

If the change happened while you were checked in, it’s not a bug – it’s a result of the change in setup.
