Monthly follow-up, remember to approve

Send notifications before payroll processing

Notifications in payroll administration are used to ensure that all registrations are:

  • Created

  • Approved

  • Ready for payroll processing

These notifications act as automatic reminders for both employees and approvers leading up to payroll processing.

Use notifications if:

  • Employees forget to register time or absence

  • Approvers do not approve in time

  • You experience missing registrations during payroll processing

Notifications help reduce manual follow-up work.

Notifications for approvers

You can set up three different reminders to prompt approvers to approve registrations and ensure everything is approved before payroll processing. The reminders can be set for:

  • Absence

  • Mileage

  • Payroll hours

Reminder for pending vacation and leave requests

Sends a push notification to the approver if there are vacation or leave requests that have not been processed before the end of the month.

You select a specific date in the month when the notification is sent to ensure that absence is approved before payroll processing.

Reminder for pending mileage requests

Sends a push notification to the approver if there are mileage registrations that have not been approved before the end of the month.

You select a specific date in the month when the notification is sent to ensure that mileage claims are approved before payroll processing.

Reminder for pending time registrations

Sends an SMS to the approver on a selected date if there are working time registrations that have not yet been approved.

This provides the approver with a quick reminder of pending approvals, helping ensure that payroll is processed correctly and on time.

Notifications for employees

Employees can receive a monthly email with a follow-up on the month’s absence registrations. The follow-up shows the employee’s registrations for the selected period.

Select the date on which the message should be sent and whether the employee is required to approve the registrations.

If the employee has no registrations in the period, they will receive the message “No registrations created.”

If approval is required, the employee will be notified that they must confirm the registrations for the period.

If they do not approve, they will receive a notification each time they log in, informing them that they have a period pending approval.

If the employee is an approver, they will see both an overview of their own registrations and the registrations from their employees that are pending approval.

It is possible to disable the monthly follow-up by selecting “Do NOT send status email.” In this case, employees will not receive any reminders.

Example: Employee who is also an approver

If an employee is also an approver for others, the monthly follow-up will include both a list of the person’s own registrations and, at the bottom, an overview of registrations that are pending approval for the employees they are responsible for approving.
