Introduction to the report for time registration without hour bank

The report for time registration without hour bank provides an overview of employees’ recorded working hours.

The report is typically used for:

  • Documentation of actual working hours

  • Basis for payroll processing

  • Follow-up on registrations per employee or job code

  • Monitoring compliance with the EU 48-hour rule

Please note that the report shows recorded hours – not balances or accrued hours.

The report’s three views

The report contains three views, each serving its own purpose:

  1. Registration log

  2. Total per period

  3. Total per week

Report content

1. Registration log

All time registrations (payroll hours, project hours, and other registrations – with or without job code)

2. Total per period

A summary per employee for the selected period.

3. Total per week

Weekly working hours and average per week. Used for monitoring compliance with the EU 48-hour rule (17-week reference period).

1. Registration log

This page displays all time registrations for a selected period.

If a registration is created with a job code, the job code name is shown.
If it is created without a job code, “Time registration” is shown by default.

The report is well-suited for creating an overview of payroll hours and project hours.

2. Total per period

This report page shows the total registrations per employee for a selected period.

The report is well-suited for creating an overview of:

  • Total hours registered on one or more job codes/projects for a selected period

  • Total hours registered by one or more employees

Remember to select which type of total should be calculated when filtering on specific job codes or employees.

3. Total per week

On this report page, the following is shown for a selected period:

  • The total registered working hours per employee per week

  • The average working hours per employee per week for the selected period

The report is well-suited for providing an overview of actual weekly working hours excluding absence hours, as well as the EU 48-hour rule, which includes absence hours in the average calculation.

The report has two options to choose from:

  1. Time registration
    Shows actual recorded working hours

  2. Time registration + absence hours
    Shows working hours including absence, which must be included in the EU 48-hour average calculation

The report is set by default to a 17-week reference period (4 months), which is the official EU requirement.

The current week is not automatically included, as the week has not yet been completed. Therefore, the default period ends with the previous week. The period can be adjusted as needed.

Absence included in the report for Time registration + absence hours:

  • Holiday and other vacation

  • Sick days and child’s sick days

  • Leave types

  • Public holidays

  • Day bank – minus days

Example


Hours included for a working week:

  • Monday
    7.5 working hours

  • Tuesday
    8.0 working hours

  • Wednesday
    7.4 sick hours

  • Thursday
    7.4 holiday hours

  • Friday
    7.4 public holiday hours

The total weekly working time in the EU calculation will be:

Time registration hours = 7.5 + 8.0 = 15.5

Absence hours = 7.4 + 7.4 + 7.4 = 22.2

Total time = 15.5 + 22.2 = 37.7 hours

Select period for the report

When generating a report for the registration log or total per period, you can choose between several ways to define the period for the dataset:

  • Year

  • Quarter

  • Month

  • Days/weeks via selection of from/to

Export to Excel

Click Export to continue working in Excel.

To avoid conversion issues, it is recommended to use the same decimal separator in BitaBIZ as in Excel.


FAQ

Which view should we use for the EU 48-hour rule for employees without hour bank?

Use “Total per week” and select “Time registration + absence hours.”

This view includes both working hours and absence, which must be included in the EU 48-hour rule.

The report calculates the average over 17 weeks by default.

Why does the weekly working time not match our payroll export?

The weekly working time report shows registered hours for the selected period. If hours have been adjusted or approved after the payroll export, differences may occur.

What is the difference between the report with and without hour bank?

The report without hour bank shows registered working hours, payroll hours, and project hours.

The report with hour bank also shows balances, overtime, time off in lieu, and hour bank adjustments.

Which view should I use in the report?

The choice of view depends on the information you need.

  1. Registration log
    → for details and individual registrations

  2. Total per period
    → for totals per employee or project

  3. Total per week
    → for working hours and EU rules

Why are hours missing in the report?

This may be due to:

  • An incorrect period selection

  • Filters on employees or job codes

  • The current week not being included (default setting)

Always check the period and filters first.
