Introduction to the time registration report without hour bank

Use this report when you need to find payroll hours, project hours, hours on job codes, or weekly work hours for employees who register time without an hour bank.

The report is relevant for employees who use time registration without an hour bank.

The report is typically used for:

  • Documentation of actual work hours

  • Basis for payroll processing

  • Follow-up on registrations per employee or job code

  • Project follow-up

  • Monitoring the EU 48-hour average

The report shows registered hours – not balances or accrued hours.

The report's three views

The report contains three views, each with its own purpose:

  1. Registration log

  2. Sum per period

  3. Sum per week

View

Used for

Registration log

Details and individual registrations, e.g. payroll hours, project hours, and job codes.

Sum per period

Totals per employee, project, or job code in a selected period.

Sum per week

Weekly work hours and averages per week, including the EU 48-hour average.

1. Registration log

This page shows all time registrations for a selected period.

If a registration is created on a job code, the job code name is shown.
If it is created without a job code, “Time registration” is shown by default.

The report is suitable for getting an overview of EU time, payroll hours, and project hours.

2. Sum per period

This report page shows the sum of registrations per employee for a selected period.

The report is suitable for getting an overview of:

  • sum of hours registered on one or more job codes/projects for a selected period

  • sum of hours registered by one or more employees

Remember to select which type of sum you want to calculate if you filter by specific job codes or employees.

3. Sum per week

On this report page, for a selected period, you can see:

  • the sum of registered work hours per employee per week.

  • the average work hours per employee per week for the selected period.

The report is suitable for getting an overview of actual weekly work hours without absence hours and the EU 48-hour rule, which includes absence hours in the average calculation.

The report has 2 options to choose from:

  1. Time registration
    Shows actual registered work hours

  2. Time registration + absence hours
    Shows work hours including absence, which must be included in the EU 48-hour average

EU’s 48-hour rule

By default, the report is set to a 17-week reference period (4 months), which is the official EU requirement.

The current week is not automatically included, as the week is not yet finished. Therefore, the default period ends with the previous week. The period can be adjusted as needed.

Absence included in the report for Time Registration + Absence Hours:

  • Vacation and other vacation

  • Sick days and child sick

  • Types of leave

  • Public holidays

  • Day bank - minus days

Example

Hours included for a working week:

  • Monday
    7.5 work hours

  • Tuesday
    8.0 work hours

  • Wednesday
    7.4 sick hours

  • Thursday
    7.4 vacation hours

  • Friday
    7.4 public holiday hours

The week's total work hours in the EU calculation will be:

Time registration hours = 7.5 + 8.0 = 15.5

Absence hours = 7.4 + 7.4 + 7.4 = 22.2

Total time = 15.5 + 22.2 = 37.7 hours

Select period for report

When exporting a report for the registration log or sum per period, you can choose between several ways to select a period for the dataset:

  • year

  • quarter

  • month

  • days/weeks by selecting from/to


Export to Excel

Click Export to continue working in Excel.

To avoid conversion issues, it is recommended to use the same decimal separator in BitaBIZ as in Excel.

FAQ

Which view should we use for the EU 48-hour rule for our employees without hour bank?

Use “Sum per week” and select “Time registration + absence hours”.

This view includes both work hours and absence, which must be included in the EU 48-hour rule.

The report calculates the average over 17 weeks by default.

Why doesn't the weekly work hours match our payroll export?

The weekly work hours report shows registered hours for the selected period. If hours are corrected or approved after the payroll export, differences may occur.

What is the difference between the report with and without hour bank?

The report without hour bank shows registered work hours, payroll hours, and project hours.


The report with hour bank also shows balances, overtime, time off, and hour bank adjustments.

Which view should I use in the report?

Which view you should use depends on the information you need.

  1. Registration log
    → for details and individual registrations

  2. Sum per period
    → for totals per employee or project

  3. Sum per week
    → for work hours and EU rules

I need payroll hours. Which view should I choose?

Use the Time Registration - Without hour bank report.

Select Registration log if you want to see individual time registrations. Select Sum per period if you want to see totals per employee, project, or job code.

I need project hours or hours on job codes. Which view should I choose?

Use Sum per period if you want to see totals for projects or job codes in a selected period.

Use Registration log if you want to see the individual registrations behind the totals or if you want to see the notes created for a registration.

Why are there missing hours in the report?

This may be due to:

  • incorrect period selected

  • filters on employees or job codes

  • the current week is not included (default)

Always check the period and filters first.
