Outlook Email Auto-Reply (Out of Office)

Let others know your absence status when they email you.

Automatic Outlook Email Auto-Reply for Leave

To use this feature, your company needs to connect Outlook auto-reply to your BitaBIZ account.

Once the feature is enabled, you’ll be able to activate your email auto-reply when you create a leave registration in BitaBIZ.

When you activate your email auto-reply for a leave registration, BitaBIZ will automatically turn on your email auto-reply when your leave period starts and turn it off again when the period ends.

💁 Please note that the integration does not change any other settings in your Outlook auto-reply. For example, you’ll still need to choose whether your auto-reply should be sent to people outside your organization in your Outlook settings.

A default email auto-reply has been set up that you can use when Outlook auto-reply is connected to your BitaBIZ account.

But you can also create your own default auto-reply. Follow the guide below.

Create your own auto-reply

Click: My settings & apps -> Apps & calendar integration:

Setting up your auto-reply

Insert automatic information in your email:

Insert your name: {fullName}

Insert the leave period when you’re unavailable: {from} {to}

Insert the name of your registration (e.g. vacation): {reason}

Remember your email setup:

The email that is sent will look exactly as you write it in the form. That means if you add a line break, there will also be a line break in the auto-reply email sent when you’re away.

Activate and edit your email auto-reply for a leave registration

When you create a vacation request or sick leave, etc., you can activate your auto-reply by checking the box in the form below. Your auto-reply will then be displayed.

You can edit the text in your auto-reply directly when you create your registration:

Check if your auto-reply is saved

Open a registration in your calendar to see if:

  1. The registration has been updated to your Outlook calendar

  2. Your auto-reply is enabled

View the auto-reply you’ve saved

Hover your mouse over the Auto-reply icon to see the auto-reply you’ve saved for the leave registration:

ℹ️ BitaBIZ will automatically activate and deactivate your email auto-reply when your leave period starts and ends.

Which registrations support email auto-reply?

Auto-reply can only be enabled for leave covering full days.

You can connect your Outlook auto-reply to the following registration types:

  • Vacation (full days)

  • Other vacation (full days)

  • Sick (full days)

  • Child sick (full days)

  • Time off (full days and where official work hours are set up with net hours only)

  • Custom registration types (full days and where presence status = "Not present")

  • Other leave / Leave of absence (full days)
