Taking vacation only as it is earned – how it works

If your company has chosen that vacation can only be taken as it is earned, it means you cannot take vacation in advance.

If you can only take the days you have already earned, here's how to handle it:

How to request earned vacation days

Open BitaBIZ in the mobile app, Outlook app, or web portal.

1. Create a registration

  • Click “Add registration”

  • Select Vacation

  • Enter start and end date

  • The system automatically calculates the number of days

The green balance box shows:

  • How many days you have available

  • How many days you are requesting

  • How many days are left after registration (remaining)

Requesting days not yet earned

It is not possible to request more days than you have earned.

The red balance box shows how many days you are requesting in excess, as it is not possible to request vacation days that have not yet been earned.

Your vacation statistics

Even though you can only take earned vacation, you can still plan ahead.

The vacation statistics help you understand how your balance develops:

  • It shows your earned days per month

  • It takes into account both past and future vacation bookings

  • It gives you an overview of how many days you have available in a given month

It is always the “Available” balance that determines how many vacation days you can request in a given month.

Vacation left (only Danish policies)

If your company follows Danish vacation law:

The vacation left flag shows the vacation days you have not yet used, which are left at the end of the vacation year

  • These days can be used until 12/31

  • In the period 9/1 – 12/31, vacation days in the calendar can be:

    • Newly earned vacation

    • Or vacation left from the previous vacation year

FAQ

Why isn't my “Available” balance increasing even though I am earning vacation days?

If your “Available” balance is not increasing along with your earning, it may be because you have already planned vacation in the future.

“Available” does not just show how many vacation days you have earned. It shows how many days you can still plan, taking into account vacation that has already been registered.

Example:

You have earned 20 vacation days.
You have already planned 15 vacation days later in the year.
So “Available” shows 5 days.

The 15 planned days cannot be planned again. That’s why “Available” does not necessarily increase at the same rate as your earning.

If you find that you cannot register vacation now, it may help to check if you have already planned vacation later in the year. In some cases, future vacation uses the days you need now.

If you want to use the days for an earlier vacation period, you can try deleting or changing the future vacation and then register the vacation in the correct order.
