Introduction to Official Working Hours
In BitaBIZ, you can create official working hours in two different ways: either by entering exact start and end times for each working day, or by entering only the net hours for the day.
Both methods are used to define the employee’s fixed working hours and form the basis for, among other things, time registration, balances, and absence calculation.
You choose the method that best matches your company’s needs.
Choosing a Standard Working Hours Method
BitaBIZ supports three options:
Start and end time per working day
Used when employees have fixed daily working hours.
Net hours per day
Used when working hours vary, but the total number of hours per day is known.
No standard working hours
Recommended for hourly paid employees who register their own working time, and where automatic creation of working hours is not needed. It can also be used for salaried employees without timebank and without standard-hours management, but with the option to earn overtime.
How to Create Official Working Hours
Set Up Official Working Hours for a Staff Group on the Policy
Official working hours entered on a policy automatically apply to all employees assigned to that policy.
To set up working hours on a policy, go to:
Setup Admin → Modules → Edit policy → Working week
Select the required standard working hours method:
A) “Enter official start and end time per working day”
B) “Enter only net hours per working day”
Enter the official working hours.
Save.
Breaks
When the working week is set up on the policy, you must decide how breaks should be handled.
If breaks are unpaid, they must be created on the policy so they are deducted from working time. This only applies when the standard working hours method Start and end time is used.
If breaks are paid, for example paid lunch, you should not create a break, as it would otherwise be deducted from working time.

Set Up Official Working Hours for a Single Employee
If an employee has different working hours than the rest of the staff group, the standard working hours can be set up individually.
To set up working hours for a single employee, go to:
Setup Admin → Edit employee → Working week
Select: “The daily working hours are created and managed here”
Enter the official working hours.
Save.
Important:
The employee’s master data always overrides the policy.
Standard working hours can vary between even and odd weeks.
Changes only apply going forward.
Max Plus Hours Per Day
Only relevant for flextime.
If you use flextime, you can limit how many overtime/plus hours an employee may earn to the timebank per day.
This is set here:
Setup Admin → Modules → Edit policy → Working week → Enter a value in the field “Max. plus hours”
If the employee registers more plus hours than allowed, the timebank will only be updated with the maximum number of hours.
Changes to Standard Working Hours
It is important to know how the system handles changes to working hours:
When standard working hours are changed on a policy or on an employee’s master data card, the historical standard working hours used on previously saved registrations are retained.
The change to standard working hours only applies to new future registrations.
In other words, when standard working hours are changed, historical data on previously registered working time is preserved, and changes only apply going forward.

Time off in lieu
With start and end time, the day’s working hours are prefilled with the start and end time for the full working day. The employee can adjust the time period for time off in lieu, but only within normal working hours.With net hours, time off in lieu is registered in hours and posted directly to the timebank. There is no restriction on the start and end time. The employee must therefore know their normal working day. |

Overtime
With start and end time, the app automatically suggests the overtime period as either before or after official working hours, depending on when the registration is created. Overtime can only be created outside normal working hours.With net hours, there are no fixed start and end times in the standard working hours. Overtime is therefore registered in hours and is not blocked unless the maximum overtime hours for the day are exceeded. |

The employee can adjust the time within normal working hours. There is no restriction on the start and end time. The employee must therefore know when the working day starts and ends. |

With start and end time, the day’s working hours are prefilled with the start and end time for the full working day when the registration is created. The employee can adjust the time within normal working hours. Sick hours cannot be created outside normal working hours.With net hours, sick hours can be converted into days in the employee’s statistics if sick hours are activated. A full sick day can also be posted in hours when standard working hours have been created. |
