Custom registration types in the report library

In the report library, you can find views for Custom registration types, which provide insight into the registrations employees have created using the Custom registration types module.

Custom registration types are typically used for registrations such as:

  • Working from home

  • Seminar

  • Travel

  • Shift

  • Fixed day off

  • Other company-specific planning registrations

You can work with the report in two different views:

  • Registration log → shows all registrations individually

  • Sum per period → shows the sum of registrations in a selected period

The report can be found under HR Statistics → Report library → Planning.

What does the report contain?

You can choose between two different views of the report:

  • Registration log

  • Sum per period

For both views, you select a period, which can be by year, quarter, month, or week/day.

You can generate reports for one year at a time at most.
If you need a longer period, you’ll need to generate multiple reports and combine them afterwards.

The report allows you to filter by both Type and Registration status.

Under Type, you can choose from all the registration types that have been created under Custom registration types in your company.

This makes it possible to get an overview of one or more specific registration types – for example:

  • Working from home

  • Seminar

  • Travel

  • Shift

  • Fixed day off

You can select one or more types depending on which registrations you want included in the report.

If you don’t check any types, registrations for all custom registration types will be shown automatically.

Under Registration status, you can filter the report by the status of the registrations:

  • Approved

  • Deleted

  • Pending

  • Rejected

This makes it possible, for example, to only see approved registrations or registrations that are pending review.

1. Registration log

The Registration log view shows each registration as a separate line in the report.

This view gives you a detailed overview of all registrations created via Custom registration types in the selected period and is especially useful for control, follow-up, and documentation.

How to use the report

  1. Select “Registration log”

  2. Select the period (year, quarter, month, or week/day)

  3. Select which registration types to include
    If none are selected, all registrations made under Custom registration types will be included

  4. Optionally select registration status

  5. Optionally filter further using the standard filters

  6. View the results per employee in the report

When should you use this report?

Use this report when you want to:

  • find specific registrations

  • check registered hours or days

  • analyze registrations at the employee level

  • export detailed data to Excel

2. Sum per period

This report shows a total summary of registrations in a selected period – per employee.

The report sums up the registrations based on the selected filters and shows a total number of days or hours for the period.

How to use the report

  1. Select “Sum per period”

  2. Select the desired period (year, quarter, month, or week/day)

  3. Select which registration types to include
    If none are selected, all registrations made under Custom registration types will be included

  4. Optionally select registration status

  5. Optionally filter further using the standard filters

  6. View the results per employee in the report

The result is shown as a total (days or hours) for the selected period.

When should you use this report?

Use this report when you want to:

  • get an overview of registrations in a period

  • analyze the extent of registrations

  • see total hours or days per employee

  • create summaries for statistics or reporting

  • work with aggregated data instead of individual registrations

Report filters

Both views of the report can be filtered and customized so that you only see the desired groups.

You can filter by the following:

  • Employee name

  • Employee status

  • Payroll number

  • Job title

  • Department

  • Policy

  • Company

  • Country

Export to Excel

Click export to continue working with the report in Excel.

When exporting to Excel, make sure to select the same decimal separator in the export as you have set up in Excel, to avoid issues with number conversion.
