Reimbursement for absence – how it works

When an employee is absent due to sick leave, maternity/paternity leave, adoption, or a flex job, the company can apply for reimbursement of salary costs from the municipality or a relevant fund (e.g., DI Barsel).

Reimbursement can be handled in two ways:

  1. Manually via Virk.dk

  2. Automatically through BitaBIZ’s integration with MinRefusion.

1. Manual reimbursement

When you report manually via Virk.

Use this method if you do not have the integration enabled.

How to do it:

  1. Use BitaBIZ’s Report Library to create reimbursement lists for reporting

  2. Report the absence manually to submit a reimbursement request

BitaBIZ is used here as the data source – the actual request is submitted in NemRefusion.

2. Automatic reimbursement

When reimbursement is handled automatically.

BitaBIZ customers can automate the entire reimbursement process through our integration with MinRefusion.

The integration transfers eligible absence data directly from BitaBIZ to the reimbursement system via MinRefusion, so reimbursement requests are submitted digitally to NemRefusion.

How to activate the integration:

  1. Go to: Setup admin → Company → Subscription plan

  2. Enable BitaBIZ API and save

  3. Copy the API key

  4. Log in to MinRefusion

  5. Paste the API key into the setup form in MinRefusion

Once the integration is activated, absence data is automatically transferred to MinRefusion, where the system handles reimbursement requests digitally.
