The HR reports provide an overview of employee data and help HR and management track developments in the organization over time. The reports can be exported to Excel, and the standard filters make it easy to narrow down data by Employee, Payroll Number, Department, Company, Employee Status, Job Title, Policy, and

Country.

The report has 3 pages:

1 Employee Log

2 Number of Employees

3 Staff Turnover

Shows employees who have a date of employment or termination date in your BitaBIZ account.

Shows the number of active employees at the end-of-period of a selected month and allows you to compare with another month.

Shows staff turnover as a percentage over a selected 12-month period and allows comparison with a previous period.

1. Employee Log

Purpose:

Shows employees who have a date of employment or termination date in your BitaBIZ account. The tab displays:

• Name
• Payroll number
• Department
• Approver(s)
• Job title
• Date of employment
• Termination date
• Company
• Country
• Policy

Filters and options:
Uses standard HR filters. By default, only active employees are shown, but this can be changed.

2. Number of Employees

Purpose:

Shows the number of active employees at the end-of-period of a selected month and allows you to compare with another month.

Filters and options:
• Select the month you want to see the number of employees for
• Compare with (optional), used to compare with a previous month
• Choose view: Company or Department

The report shows:
• Company: shows the total number of active employees in the company
• Department: shows the number of active employees per department

Calculation logic:
An employee is counted if:
- the date of employment is on or before the last day of the selected month, and
- the termination date (if any) is after this date – or there is no termination date.

Example:
For month = February 2025

  • Employed 15 January 2025 → counted

  • Employed 1 March 2025 → not counted

  • Terminated 10 February 2025 → not counted

  • Terminated 1 March 2025 → counted

3. Staff Turnover

Purpose:

Shows staff turnover over time for up to 2 selected periods and helps HR analyze recruitment, terminations, and retention. The report shows how many employees were hired and terminated within a selected 12-month interval, and compares with a previous 12-month period.

Filters and options:
• Select 12-month period (end date) – choose the period you want to analyze
• Compare with another 12-month period (end date) – optional
• Choose view: Company or Department

The tab shows:
Company: shows the total number of hires, terminations, and calculated staff turnover percentage for the entire company

Department: shows the same data broken down by department

Calculation logic:
Staff turnover (%) = (Number of terminations in the period ÷ Average number of employees in the period*) × 100

*Average number of employees = (Number of employees at the start of the period + number of employees at the end of the period) ÷ 2

💡 Tip: The report can also be used to get an overview of employees who were hired and terminated within a 12-month period (overview of hires and departures at employee level).


FAQ

How does BitaBIZ calculate staff turnover?

BitaBIZ calculates staff turnover as the proportion of employees who leave during a selected one-year period.

Formula:

Staff turnover=

(Average number of employees in the period / Number of employees who left in the period​)×100

Data basis:

  • Date of employment and termination date from employee master data

  • The one-year period is selected via the report filter

Result:
The report shows staff turnover as a percentage for the selected period and can be filtered by department, company, policy, country. The report can calculate 2 periods at the same time. This allows you to compare 2 periods in the report.

How does BitaBIZ calculate the number of employees?

Number of employees shows how many employees are active at the end-of-period of a selected month.

Definition:
An employee is counted as active if:

  • Date of employment ≤ end date of the period

  • And (termination date is empty or termination date ≥ start date of the period)

Result:
The report shows the number of active employees for a selected month. The report can calculate the number of employees for those months. This allows you to compare the development in the number of employees over time and filter by department, company, company, policy, and country.

Can I export data on former or terminated employees?

You can download a report on former (terminated/inactive) employees via the HR report Employee Log in the report library.

Here's how:

  • Go to Report Library → HR Reports → Employee Log

  • Filter by employee status = inactive (or use termination date)

  • Export the report to Excel
