Get an overview of your team's absences and balances

What is the Statistics page?

The Statistics page gives you, as an approver, a quick and visual overview of key figures for your team – such as vacation, sickness, and hour bank.

Find the Statistics page under your approver role in Approve & Post-register → Statistics.

You can use the page to:

  • Track absence trends

  • See the status of balances across employees

  • Get an overall overview of your team

The statistics are designed for an overview – not for detailed review or export.

For detailed follow-up and calculation of balances, please contact a colleague with one of the following roles:

  • Payroll Admin → Calendar Access (analysis and reconciliation of balances)

  • HR Statistics → Report Library (export and key figures)

What can you see in the statistics?

On the Statistics page, you can see, among other things:

  • Vacation left and supplementary balance left

  • Number of sick days and child sick days

  • Hour bank balances

  • Other relevant key figures for your team

Data is shown collectively across employees, so you can quickly get an overview.

When should you use the Statistics page?

The Statistics page is relevant when you want to:

  • Get a quick overview of your team

  • Track the development of balances for the team

It is not suitable for looking into details for individual employees. Instead, use employee calendar access if you want to see, for example, the breakdown of absences.


FAQ

What is the purpose of the Statistics page?

The statistics give approvers a quick overview of the team's key figures – such as vacation, sickness, and hour bank.

It is used for viewing, not for calculation or export.

Can I reconcile vacation balances via the Statistics page?

No, the statistics are for viewing only.
Contact a colleague with administrator functions who can reconcile balances or pull reports for reconciliation.

What if my team has employees in several countries?

The statistics show balances based on the vacation and supplementary balance years that apply to each country.


Vacation and accrual years may therefore vary from country to country.

As an approver, can I export an employee's registrations and history to Excel?

You can get a detailed overview of the employee's data via employee calendar access:

  • See work hours, absences, and other registrations

  • Review history and balances

  • Make corrections if needed

Access applies to the employees or departments you are an approver for.

But as an approver, you cannot export registrations to Excel for one or more of the employees you approve.
If you need to export to Excel, you must contact a colleague with the HR Statistics role.

Can I export data from the Statistics page?

No. Export is done via reports, which are managed by an administrator.

When should I use the Statistics page – and when shouldn't I?

You should use the Statistics page when you want a quick overview of your team's absences and balances – such as vacation, sickness, and hour bank.

You should not use the Statistics page if you need:

  • Details on a specific employee (in this case, use Employee Calendar Access)

  • To reconcile or check balances (contact an administrator)

  • To export data for reports or payroll (contact an administrator)

As an approver, can I see total work hours for employees in Statistics?

No, as an approver you cannot get a full overview of total work hours for an entire year via the Statistics section. Statistics is mainly a team-level overview tool and is not intended for detailed follow-up per employee or for longer periods.

As an approver, you instead have the following options:

See work hours per employee (recommended):

How you can see work hours depends on whether the employee has a registration method with or without hour bank:

  • Without hour bank
    See hours via the employee's calendar (calendar access)

    Here you can get an overview per day, week, month, and year via calendar statistics

  • With hour bank
    Via the employee's calendar (calendar access)

    See work hours and hour bank development via weekly view and history

Export hours on a yearly basis (requires HR role):

  • Use reports for time registration in the Report Library

  • Requires the HR Statistics role

The choice depends on whether you need ongoing overview (calendar) or a full export (reports).
