Introduction to Dataløn Export
BitaBIZ can export records directly to Dataløn using Payroll export with period control.
Purpose:
The payroll export to Dataløn ensures that hours, absence, mileage, and payroll items are imported correctly.
And most importantly: BitaBIZ keeps track of which records have been settled in Dataløn.
👉 The payroll export to Dataløn is not the same as:
BitaBIZ API – used for exporting raw data and integrations. The API should not be used for payroll system export.
Report Library – contains ready-made HR reports. Exporting from the report library should not be used for payroll system export.
1 Open BitaBIZ
From the payroll export page:
Select report: Dataløn
💁 BitaBIZ remembers the last selected payroll system.
Select the period
From-date is the date you want payroll data from (inclusive).
To-date is the date you want payroll data up to (inclusive).
The from-date can be back in time. We recommend setting this date several months back in time. For example, 3 months/payroll periods.
This way, you catch any payroll items from previous periods that haven't been paid/processed yet:
hours that have been registered back in time to an old payroll period and have not been marked/archived as payroll processed
hours and absence that were approved after the payroll run was completed
Select policies
💁 Check the policies you want to include in the export.
Click "Show result":
The period's records are now shown in the list:
ℹ️ If a record has already been exported before, this will be shown and it will not be included in the export.
ℹ️ If an employee is missing a payroll number, this will be shown and that employee's records will not be included in the export.
Click: "Export"
When you click the "Export" button:
1. The records are sent directly to your Dataløn account.
2. The records are locked as payroll processed in BitaBIZ.
💁 The Payroll Admin role is the only one who can delete a payroll processed record via Calendar access. The payroll export will show if a payroll processed record has been deleted.
3. The records are saved in the payroll export archive.
💁 If you accidentally archive (lock) a payroll period, you can reopen it by deleting the archive entry in the archive.
If you delete an export from the payroll archive, the records will be open for export again.
In this case, be careful not to export the same period with the same end date, as this can cause duplicates in Dataløn.
When you rerun a period as normal (without deleting from the archive), only new or previously unexported records will be included.
Example:
If you have created an export with the end date April 26 and delete it from the payroll archive, it is important that you do not create a new export with the same end date (April 26).
Instead, you should select a new end date for the export period, for example the following day April 27, when you create the new export.
This ensures that Dataløn does not import duplicate entries on the same date, helping you avoid errors in the payroll run.
2 Open Dataløn
Select Payroll -> Payroll reporting -> New payroll
💁 Already created a payroll draft? Click “Actions” and select Import from there.
Do you have payroll term groups set up in Dataløn?
Yes: Select a payroll term group from the list -> Click Import
No: Click Import
ℹ️ If you have payroll term groups -> the import must be completed for each of your groups. Note that you may get an error message when importing per payroll term group. You can ignore this error message and just click continue.
