Overview of logs that Payroll Admin can use for follow-up

As a payroll admin, you have access to logs, which are used to follow up on registrations and approvals.

Logs help you:

  • Get an overview of registrations that are pending approval

  • Investigate a registration’s history (Created, approved, deleted)

  • Follow up on the monthly email with linked approval requirements

It is important to use the correct log depending on what you want to find. The three logs each provide an overview of:

  • Pending approval
    See which registrations are awaiting approval

  • Activity log
    See all changes, including when a registration was created, approved, and deleted

  • Monthly email follow-up with approval flow
    See the status of employees – have they approved the latest month?


Log: Pending approval

The Pending approval log provides an overview of registrations that are awaiting approval.

Navigate to:
Payroll admin → Logs → Pending approval

In this log, you can:

  • View all registrations that have not yet been approved

  • Get an overview before payroll processing

  • Ensure all registrations are ready for export

You can also use the filter to search for specific employees, registration types, or dates.

Use this log when you want to identify which registrations are still pending approval.

Log: Activity log

The Activity log shows the history of a registration, including the date of each action (creation, changes, deletion) and who performed it.

Navigate to:
Payroll admin → Logs → Activity log

In this log, you can view:

  • Created registrations

  • Approvals and rejections

  • Deleted registrations

  • Changes made to registrations

Select the period you want to view using the date fields. You can search for activities within a range of up to 3 months at a time.

It is also possible to include only activities that occurred after a selected date. This means that if a registration was created before the selected date, it will not appear in the log.

You can choose whether to view all registration types in the Activity log or only a specific type (for example, vacation, working time/time registrations, or sickness).

In addition, the search field can be used to find specific entries, such as a particular employee, date, or action.

The Action column shows the status of the registration, indicating whether it has been created, updated, approved, or deleted.

The date field on the far right shows when the action on the registration took place.

Each registration has a unique ID. All actions related to that registration share the same ID.

Use this log when you want to:

  • View an audit trail (Created → approved → deleted) for a registration, including timestamps and who performed each action

  • See when a registration was created and compare it with when it takes place

Note that deleted registrations cannot be restored automatically. However, they can be found in the Activity log and then recreated manually.

Log: Monthly follow-up with approval flow

The Monthly follow-up with approval flow log shows which employees have received a monthly follow-up email and whether they have approved that the period has been correctly reported in their calendar.

Navigate to:
Payroll admin → Logs → Monthly follow-up with approval flow

In this log, you can:

  • See which employees have not yet approved a period

  • Get an overall overview of approval status

Use this log for follow-up purposes—not for finding deleted or missing registrations.


FAQ

Can I see who created, changed, or approved registrations?

Yes, as a payroll admin, you can view the full history of registrations via the Activity log: Payroll admin → Logs → Activity log

Here, you will see:

  • Who created a registration

  • Who approved or rejected it

  • Whether a registration has been changed or deleted

  • When the actions were performed

Use the Activity log when you need an overview of who did what on a registration.

This is not a report you need to generate, but data from the Activity log can be exported to Excel.
