Billing information and prices

Company Information and Billing

The company information registered in your subscription plan is used for billing from BitaBIZ. Therefore, it is important that the information is always correct and up to date.

How to update your billing information:

  1. Go to Setup admin

  2. Select Company

  3. Click on Subscription plan

  4. Make the desired changes

  5. Click Update subscription plan to save

If your company information changes, it is your responsibility to update the information in the system.

Changes to company information will appear on your next invoice and are not retroactive.

Upload your company logo

You can upload your company logo under company information. The logo will be displayed on the web portal.

Here's how:

  1. Click: Setup Admin -> Company -> Subscription plan:

  2. Drag your logo into the dotted box under company logo

  3. Or click "Browse" to select your logo

  4. Click: Update subscription plan

Price: kr. 20.51 per active user / month

Inactive users (Effective from July 1, 2026)

Price: kr. 2 per inactive user / month

When an employee is terminated and made inactive, their access to the system is removed. All history is saved and included in the API, statistics, and reports. The Payroll Admin role has access to the employee's inactive calendar.

When the employee's profile is deleted, the inactive payment stops. An employee's profile can be deleted manually or automatically via a setting in BitaBIZ. Read more here.

Payment Terms

Prices include setup, installation, and support.

  1. Invoices are sent quarterly in advance.

  2. Price depends on selected modules, number of users, and SMS usage.

  3. Payment: 14 days from invoice date.

  4. All prices are excl. VAT.

  5. Prices are adjusted annually according to the net price index from Statistics Denmark.

EU Add-on Module

Price depends on the number of active users on the account (per account / month):

  • < 31 users: kr. 102.60

  • 31–60 users: kr. 206.21

  • 61–100 users: kr. 309.83

  • 101–200 users: kr. 413.44

  • > 200 users: kr. 517.06

Price: 0.51 DKK per SMS

Includes:

  • direct notification to approver when an employee registers sick leave

  • direct notification to the employee that the sick leave has been received

  • option to activate an extra free-text message when an employee registers a sick day

Price Example

Price per user per month

  • Pro module: 26.53 kr.

  • Unified Communication: 3.63 kr.

  • API & Report Library: 3.63 kr.

Total per user per month: 33.79 kr.

Example: 100 employees

For 100 users, the price is calculated as follows:

100 × 33.79 kr. = 3,379 kr. per month

EU add-on (optional)

If the EU add-on is activated, add:

  • 309.83 kr. per month (price for 61–100 users)

Total monthly price

  • Subscription (100 users): 3,379 kr.

  • EU add-on: 309.83 kr.

Total price per month: 3,688.83 kr.

Billing Currency

You can choose which currency you want to be billed in. The selected currency will be used on all future invoices from BitaBIZ.

Available billing currencies

BitaBIZ offers billing in the following currencies:

  • DKK – Danish kroner

  • EUR – Euro

  • GBP – British pounds

  • USD – US dollars

Any changes to the billing currency will take effect at the next billing and are not retroactive.

Billing and Payment

How do we update our billing information?

You can update your billing information yourself under Setup admin → Company → Subscription plan.

Save your changes by clicking Update subscription plan, and they will appear on your next invoice.

How do we receive our invoice from BitaBIZ?

BitaBIZ primarily sends invoices as e-invoices, if possible. E-invoicing information is automatically retrieved from the NemHandel register.

If your company is not registered for e-invoicing, or if you do not wish to receive e-invoices, the invoice will be sent as a PDF via email.

You can set this up on your BitaBIZ subscription page by deselecting e-invoice and entering an invoice email address.

When do we receive the invoice, when is it due, and what does it cover?

You will receive your invoice when your paid subscription period starts, and then quarterly in advance at the beginning of each calendar quarter.

The payment term is 14 days from the invoice date.

The invoice covers your subscription for the upcoming quarter and is calculated based on:

  • The modules you have activated in your subscription plan

  • The number of active users (e.g., employees and freelancers)

  • Any usage of SMS messages

If your subscription starts in the middle of a quarter, the first invoice will be calculated proportionally for the remaining part of the quarter.

Why does the number of invoiced users not match our current number of employees?

BitaBIZ invoices quarterly in advance based on the number of active users on the account at the start of the quarter.

If the number of employees changes after the start of the quarter (e.g., due to resignations), this will not affect the current invoice, but will be reflected on the next invoice, provided the users have been made inactive.

Please note that employees will continue to be included in billing as long as they are listed as active users in the system.

You can get an overview of active users as of the date we invoiced by going to:

  • Report Library → HR Reports → Number of Employees

When does billing change if I add or deactivate employees?

Billing is calculated based on the number of active users and is updated quarterly in advance.

If you:

  • add new active employees, or

  • make existing users inactive,

the change will be reflected on the next invoice.
Changes do not affect the current billing period.

Subscription and changes

Can we change our package or add/remove add-ons in the middle of a billing period?

Yes, you can change your subscription plan at any time, including:

  • switching packages (e.g., upgrading from Business to Pro)

  • adding or removing integrations and add-ons

These changes can be made at any time via Setup admin → Company → Subscription plan.

When do the changes take effect?
Changes will generally take effect from the next billing period and will be reflected on your next invoice. This means that changes made in the middle of a billing period will only affect the next quarter’s billing/price.

What does the QR scanner feature cost?

The QR scanner feature is included at no extra cost. As with our other advanced time registration features, using the QR scanner requires that the EU Add-on module is activated on your account.

How can I see which inactive employees we are being billed for?

You can generate a list of inactive employees in BitaBIZ and use it to check which employees are listed as inactive.

You have two options:

Option 1: Via Payroll Admin

  1. Go to Payroll Admin.

  2. Select Edit payroll no. etc.

  3. Select the filter Terminated employees.

  4. Click Excel to export the list.

Option 2: Via HR Statistics

  1. Go to HR Statistics.

  2. Select Report Library.

  3. Go to HR Reports.

  4. Open Employee Log.

  5. Select employee status Inactive.

  6. Click Export.

The list can be used to check which employees are registered as inactive in BitaBIZ.

Why does BitaBIZ bill for inactive users?

An inactive user no longer has access to BitaBIZ, but the user’s history is still stored in the system. The history is included in the API, statistics and reports, and Payroll Admin can still access the employee’s inactive calendar.

Even if an employee is inactive, their history is still stored in BitaBIZ. Data can still be used in the API, reports, and statistics. The extra cost covers the ongoing expenses of hosting, retaining, and processing your data securely and correctly in accordance with GDPR.

Was the change in billing for inactive users announced?

Yes. The change was announced in the BitaBIZ News Center on April 10, 2026.

From July 1, 2026, inactive users will be billed at DKK 2 per month per inactive user. When an inactive user is deleted, billing for that user stops.

The change was introduced because the number of inactive users on the BitaBIZ platform is increasing. BitaBIZ therefore recommends that customers review their inactive users and use the automatic deletion solution if they no longer need to retain user history.

Termination and access to data

How do we terminate our agreement?

You can terminate your subscription by giving written notice via email to [email protected].

The notice must be received before the start of a new calendar quarter and will take effect from the following quarter unless otherwise agreed.

What is the notice period?

The notice period depends on when in the quarter the termination is received.

You can terminate the subscription:

  • until the end of the quarter that has already been paid for

  • with a notice period of between 1 and 90 days, depending on the timing of the termination

The subscription is automatically renewed each quarter unless timely notice is given before the start of the next quarter.

Are we billed after termination?

No. You are not billed after termination unless otherwise agreed.

If you terminate your subscription during an ongoing quarter, the invoice for that quarter will already have been issued and your agreement will remain in effect for the rest of the quarter.
The subscription ends at the end of the current quarter, and no further invoices will be sent.

Can we access data after termination?

Data can be accessed and downloaded until the last day of the subscription period, after which BitaBIZ will delete all data in accordance with GDPR legislation.
