This privacy policy covers the BitaBIZ service

1. Who we are

We are BitaBIZ ApS ("BitaBIZ", "we", or "us"). We offer a digital time registration and leave and absence system, including a web platform and apps for iOS/macOS, Android and Outlook/Teams.

This Privacy Policy explains how we process and protect your personal data on behalf of your employer or organization when you use any part of the BitaBIZ Platform.

Who is controlling your data?

Your employer or organization is the controller of your data when using the BitaBIZ Platform.

3. Why We Use Your Data

BitaBIZ processes your personal data on behalf of your employer or organization, who acts as the data controller. The legal basis for processing is determined by your employer in accordance with Article 6 of the GDPR. BitaBIZ acts solely as a data processor and processes your data only under their instructions.

4. What Data We Collect

Depending on how you and your employer use BitaBIZ, the following data might be collected:

  • Your name, email, job title, phone number

  • Work-related data like working hours, leave, sick days

  • Login and device details (IP address, browser, etc.)

  • Support messages and feedback

  • Payment information (for business customers only)

  • Emergency contact info (if added by you or your employer)

Note on App Stores
When you download BitaBIZ’s mobile apps from the Apple’s App Store or Google Play Store, those platforms may collect data as independent controller — for example, your device ID, crash logs, or in-app billing details. BitaBIZ does not control or receive this data, nor does your employer. Please refer to the respective app store's privacy policy for details.

5. What kinds of personal data does BitaBIZ process, and how do we receive it?

BitaBIZ processes personal data on behalf of our customers. The data is entered or generated through your use of the BitaBIZ platform, and typically includes information related to your employment and organizational role.

We receive and process data:

  • When your employer or organization enters it into BitaBIZ

  • When you use our website, apps, or features (e.g. leave requests, time registrations)

  • From connected systems or integrations (e.g. Microsoft 365, Single Sign-On

6. How Long We Keep Your Data

We retain your data in accordance with your employer’s instructions. If no specific retention period is set, we apply default deletion settings based on system functionality or legal obligations.

7. Cookies and Tracking

We use the necessary cookies to keep BitaBIZ running smoothly. For example:

  • To remember your login or language settings

  • To keep your connection secure

You can read more about our Cookie Policy. We don’t use cookies for marketing on the BitaBIZ SaaS Platform.

8. Sharing Your Data Outside Europe

Sometimes we work with companies outside the EU (like Microsoft). When we do, we make sure your data is still protected by using approved legal safeguards.

9. How We Keep Your Data Safe

We use strong security protections, including:

  • Microsoft Azure infrastructure with encryption

  • Access control, monitoring, and backups

  • Regular security audits (ISAE 3000 standard)

10. Who We Share Data With

We use trusted partners to run parts of the service. They only process your data under our instructions for purposes related to delivering the BitaBIZ service.

11. Your Privacy Rights

We do not rely on your consent to process personal data. Your data is processed under instructions from your employer or organization, which acts as the data controller.

We do not make decisions about you based solely on automated processing.

You have rights under the GDPR. You can:

  • Ask to see your data.

  • Ask us to fix it or delete it.

  • Say no to certain uses.

  • Ask to move your data to another service.

Requests should generally be directed to your employer or organization. However, we will assist our customers in fulfilling your rights.

You have the right to lodge a complaint with a data protection authority, in particular in the country where you live, work, or where you believe your data protection rights have been violated. In Denmark, this is the Danish Data Protection Authority (Datatilsynet): www.datatilsynet.dk.

12. Changes to This Policy

We update this policy when needed and post the latest version on our website. If the changes are important, we will notify you.

13. Version Effective Date

Version 3.0 – July 5th, 2025 – Privacy Policy or the BitaBIZ Platform (web version and apps).
